This switch shows where horizontal tools start to break, once an internal workflow becomes repetitive, compliance heavy, and owned by one team every day, the value shifts from flexibility to packaged automation. Airtable let the team store HR data, but onboarding still lived partly in Asana and other tools. Moving to BambooHR meant one system for employee records, onboarding steps, and downstream HR tasks, instead of a custom base that someone had to keep patching by hand.

  • The core issue was not just integration, it was workflow ownership. In Airtable, the team had built a usable record system, but new hire data still sat in multiple places and onboarding ran manually. A dedicated HRIS turns adding an employee into the trigger for forms, documents, approvals, and follow on tasks.

It works well as a flexible system of record for custom pipelines and small team processes, but this same interview describes limits in reporting depth, load speed, and the need for internal experts as usage grows. HR exposed that tradeoff earlier because the workflow is standardized and easier to replace with purpose built software.

As companies grow, more of these operational surfaces move from build it yourself databases to software with opinionated workflows baked in from day one.
