Reviewing context
Scheduling is no longer scarce software, it is becoming table stakes inside the systems where work already happens. Calendly built a large SMB business by turning availability into a viral link, but Google Calendar, Microsoft Bookings, and HubSpot now let teams create booking pages, share links, and sync calendars inside products many customers already use and pay for, which shifts standalone scheduling from a product wedge into a bundled utility.

Calendly’s original edge was distribution, not deep lock in. The recipient only needed to click a link, see open slots, and book. That simple loop helped it reach 53% U.S. scheduling share earlier on and scale from $249M ARR at the end of 2023 to $349M ARR at the end of 2024, even with low switching costs.
-
Bundles now cover the core job well enough for many SMBs. Google lets users create a booking page directly in Calendar, Microsoft Bookings is included in supported Microsoft 365 plans and syncs with Outlook, and HubSpot gives away a meeting scheduler tied to its CRM, email, and follow up workflows.
-
That changes where independent schedulers can win. The value moves from sending a plain booking link to handling messy logic like routing by team, qualifying leads, embedding booking inside another product, or attaching payments and follow ups. That is why newer players like Cal.com and Default position scheduling as infrastructure or one module in a broader workflow stack.
The next phase of this market belongs to products that turn a booked meeting into downstream action. Standalone links will keep getting cheaper, while the defensible layer shifts toward routing, CRM writes, payments, voice, and embedded workflows that fit inside enterprise software and AI agents.
